TERMS OF REFERENCE
ADMINISTRATIVE OFFICER
A KEY RESPONSIBILITIES
-
- Deputise for and perform the job of the Administrative & Finance Officer in his/her absence.
- Assist the Registration and Licensing Officer for the manual entry of data of newly registered into provisional, permanent practitioners and temporal registers.
- Process mailings and documents submitted to Council and submit to Senior Administrative Officer for onward transmission to Registrar and the Deputy Registrar,
- Assist the Registration and Licensing Officer in the issuance medical and dental practitioners’ registration numbers, process certificates for delivery and create files.
- Be responsible for ensuring that the office is fully stocked with all the required stationery and office equipment required for its efficient operations.
- Manage Senior Officers’ calendars, schedule of appointments and prepare travel arrangements.
- Maintain office filing system and assist in archiving.
- Assist in taking minutes at meetings, writing letters, reports and internal memos.
- Responsible for the collection and delivery of office supplies.
- Responsible for the repairs/maintenance of all office equipment.
- To keep all information relating to the non-professional group.
- Ensure that files in storage room are kept in order.
- Carries out regular files census in consultation with the Senior Administrative Officer.
- Dispatches outgoing mails.
- Ensure that all files classification systems are up to date.
QUALIFICATIONS AND EXPERIENCE
- BSc in Administration with 2 years Administrative working experience, or
- Postgraduate Diploma in Administration with at least 3 years’ experience in administrative position;
