Job purpose:

The Executive Assistant is the Personal Assistant to the Managing Director. The position holder works closely with the Management Team in all matters of confidential nature and are critical in the organisation’s interaction with the public.

Main responsibilities: 

Effective and efficient functioning of the MD’s office with focus on the following: 

  1. Maintenance of the MD’s calendar, contacts, arrangement of appointments and meetings. 
  2. Participate in the organization and preparation of Management and staff meetings or special meetings. 
  3. Take meeting minutes with all necessary documentation and information.
  4. Maintenance of Management team roster, email, and telephone contacts.
  5. Preparation of correspondence, directives, comments on behalf of MD for his signature and making follow-ups when required. 
  6. Manage and maintain MD’s travel logistics, accommodation, claims and follow-up with relevant agents. 
  7. Upon request, prioritize mails and respond where appropriate, manage communication on behalf of the MD.
  8. Register incoming and outgoing mails.
  9. To ensure all correspondence and relevant materials are produced in a timely and accurate manner.
  10. To provide administrative support in the delivery of assignments and initiatives on behalf of the Executive Director’s office as and when required.
  11. Maintain up-to-date general management files.
  12. Maintenance of the filing system ensuring safekeeping of confidential materials.
  13. Responsible for Head Office archives management. 
  14. Any other responsibilities assigned by the management.

Required experience: 

  • 2-3 years’ experience of providing secretarial and administrative support for Senior Executives (preferable in an international environment)
  • A degree in Business Management
  • Assuring discreet handling of business and ability to handle confidential and sensitive material 
  • High level of personal responsibility and proactive approach to tasks 
  • Proficient IT skills in Microsoft Office Applications (MS Word, Excel, PowerPoint, Outlook)
  • Time management skills 
  • Excellent written and spoken communication skills in English
  • Excellent interpersonal skills
  • Planning, organizing and multi-tasking skills
  • Managing information and workflow
  • Logistical support
