JOB DESCRIPTION

KEY RESPONSIBILITIES

Fleet Management

  • Daily monitoring of all vehicles through the GPS Tracker System and report any adversaries.
  • Maintain fleet maintenance database and update it daily.
  • Complete all vehicle check list in consultations with users before submission to maintenance garage.
  • Conduct test drive on every recently serviced vehicle and sign certification on job performed vs requisition, invoice and quality service delivery.
  • Contact Garage for any dissatisfaction, clarifications or non/poor performance of service and ensure is resolve asap
  • Ensure invoices after service are promptly issued by maintenance garages, received and logged by the fleet officer, confirmation/verification checks on all invoices received from the maintenance garages vs requisition (Approved Checklist) and reconcile where necessary before submission for payment processing.
  • Recommend/endorse all vehicle requisitions
  •  Manage activities of all drivers both at branches and Head Office and with the application of GPS Tracker system in consultations with BMs/OICs, monitor their activities for effective and efficient service deliveries
  • Provide timely/quality monthly report to /Supervisor/Management. 
  • Ensure all vehicle incidences are reported immediately they occur and appropriate action taken at the right time.
  • Provide efficient vehicle support to all business units. 
  • Ensure a conducive work environment is available to drivers with appropriate tools to work with.
  • Ensure, Insurance, Licensing and Maintenance of RFS fleet are timely administered and records available at all times.
  • Ensure appropriate security system is in place for RFS drivers/staff protection and safety and proper protection of company assets
  • Regularly review, propose updates to – and disseminate the vehicle usage policy
  • Provide appropriate training for RFS drivers & other relevant staff geared towards general vehicle management (e.g. Defense driving, driver behavior, speed limits, traffic regulations, etc)  
  • Develop maintenance service contracts with all approved mechanical service operators including contacts of key personnel
  • Coordinate the hiring of temporary hired drivers/vehicles and recommend to management

Procurement

  • Provide vehicle disposal plan and participate in the procurement of new vehicles
  • Participate in the vehicle disposal processes (e,g. Auction sales)

Fixed Assets management

  • Ensure the unit maintains an accurate Master list of the vehicle fleet with all profile details including, yr purchase, price, Chassis No. Engine No. Branch allocated, LPO No. Driver, etc.
  • Monitor and update their allocations to ensure appropriate/accurate cost allocation.
  • Supervise monthly reconciliation of the Fleet register against the relevant general ledger accounts, noting all reconciling items for reconciliation.
  • Ensure all vehicles purchased are accurately recorded in BankOne and updated in the register.
  • Review the FA depreciation rates and amounts charged on the fleet to expenses on a monthly basis for completeness and accuracy.
  • Participate in vehicle disposition (auctioning) and ensure approval is granted by procurement committee for such dispositions

Training and Development

  • Ensure all RFS drivers undergo defense driving plus all other trainings relevant/recommended by  the company.
  • Ensure all RFS drivers complete a Personal Development Plan to enable development of the training plan for the year.
  • Develop and coordinate the implementation of leave for drivers and ensure relief staff are always available.
  • Organize refresher trainings and one-to- one training sessions on specific topics relevant to their areas of operation of the business.

JUDGMENT / COMPLEXITY

Judgement is continually required on:

  • Adherence to Budget/Policy

KNOW HOW AND EXPERIENCE

  • Minimum, Diploma in motor mechanics
  • Minimum of 3 years related experience.
  • Sound knowledge of motor vehicle management
  • Ability to conduct minor maintenance services
  • Ability to train drivers
  • Effective oral, written and interpersonal communication skills and the ability to apply common sense to carry out instructions and instruct others, interpret documents, understand procedures, write reports and correspondence, and speak clearly to drivers, Garage staff and RFS employees.
  • Proven work experience in motor mechanic management and control
  • Ability to conduct quarterly branch visits
  •  Ability to speak at least three local languages
  • Familiar with computer processing/applications
