About The Role
This is an exciting opportunity to play a central role in the smooth running of our in-country operations. As Office Manager, you’ll provide essential administrative, financial and operational support that enables our programme teams to deliver high-quality volunteer experiences and community development activities. Acting as the hub of the office, you’ll ensure colleagues have the resources, systems and information they need while supporting compliance, financial processes and effective day-to-day operations. Working closely with the Programme Manager and UK support teams, you’ll help maintain accurate records, coordinate office functions and contribute to the efficient delivery of our programmes, ensuring both African Adventures Ltd and the African Adventures Foundation continue to operate to the highest standards.
About You
We’re looking for an organised, proactive and dependable professional who enjoys keeping things running efficiently behind the scenes. You’ll be comfortable managing a variety of administrative, financial and coordination tasks, with excellent attention to detail and the ability to prioritise competing demands. You’ll be confident in building positive relationships with colleagues, suppliers and external partners, and be committed to delivering accurate, timely and professional support across the organisation. Most importantly, you’ll share our values and take pride in helping our country and UK teams deliver safe, impactful and well-managed programmes that make a lasting difference to local communities.
Responsibilities
• Responsible for ensuring the company office facilities are maintained and in place for all to use, including utilities management.
• Responsible for financial bookkeeping and reporting on behalf of the Programme Manager working with the UK finance department.
• Inputting all income and expenditure on Xero, the company’s financial software, and providing reports as required.
• Responsible for making payments to suppliers as required for the programme on behalf of the Senior Trip Host, Senior Driver, and Foundation Coordinator where required.
• Point of contact on behalf of the business and charity for the accountant, including payroll.
• Ensure staff expense claims and petty cash are managed and recorded effectively including receipts.
• Provide the Personal Assistant function for the Programme Manager where required including diary and email management.
• Provide the country HR and ICT support for the programme and point of contact for the UK team in this regard day to day, as the dedicated office-based team member.
• Assist with scheduling, rotas, and team planning as required.
• Managing mail and banking processes including Bank and GAMPOST runs.
• Deal with general enquires internally and externally as required.
• Any other ad hoc tasks as required.
Collaboration
We are all ‘one team’ and need to work as such, to deliver the role you will be expected to primarily and effectively work with:
• In Programme – Programme Manager, Senior Trip Host, Senior Driver, Foundation Coordinator, Trip Hosts.
• In the UK – Business Operations Manager, H&S Officer, HR Officer, Marketing Manager, Finance Manager & Officers.
• External to African Adventures – All Suppliers, Accountant, Gam Post, Partners.
What we’re looking for:
Essential:
• Fluent in English, Mandinka, and Wollof – representing the communities we operate in.
• Leadership experience at a programme level within NGO, Tours or Travel industries.
• Experience of stakeholder management of senior leaders in authorities, communities, and business owners.
• Senior Management experience of business, corporate and compliance with extensive experience in business planning & financial budget holder responsibilities.
• Experience of leading teams in multiple disciplines.
• Highly competent in Microsoft (Outlook/365) and communication (Teams/WhatsApp) systems.
Desirable:
• Experience in working within the education sector or child development/community development.
• Experience or understanding of fleet/hotel management.
• Experience in managing large programmes delivering capacity development.
• Driving licence.
