TERMS OF REFERENCE
RECEPTIONIST
A KEY RESPONSIBILITIES
- Provide a friendly and efficient reception service for medical and dental practitioners and visitors to Council with support from office colleagues as and when required.
- Maintain the reception area so as to create a friendly and welcoming atmosphere.
- Responsible for the general cleanliness of the office building and its surroundings.
- Promote a friendly, non-judgmental, non-discriminatory approach in every aspect of the work towards visitors, colleagues, Council members and the public.
- Keep a way book of all incoming and outgoing letters to and from Council.
- Responsible for the dispatch of internal memos and mails going outside and also receiving mails from other Institutions to Council.
- Coordinate and manage the activities of the Conference Hall
- Keep a diary and record all messages and deliver them promptly to the intended staff.
- Receive incoming calls and forward them to the concerned officers, as applicable.
- Ensure that the driver’s logbook is regularly updated.
- Any other duties assigned.
B QUALIFICATIONS AND EXPERIENCE
- Diploma in Front Office Management, Records, Archival Management or a related field in combination with 2 years relevant experience OR
- Certificate in Front Office Management, Records, Archival Management or a related field in combination with 3 years relevant experience
- At least Five Credits in WASSCE, including English Language.
