Job Summary

The Service Receptionist serves as the first point of contact for customers visiting the service department. The role is responsible for coordinating vehicle service appointments, maintaining excellent customer relationships, ensuring accurate service documentation, monitoring work progress, and facilitating timely communication between customers and the workshop to ensure an exceptional customer experience.

Key Responsibilities

  • Welcome customers professionally and receive vehicles for servicing.
  • Register all incoming vehicles accurately into the service management system.
  • Conduct and document vehicle inspections before and after service.
  • Prepare, open, and close job cards promptly and accurately.
  • Provide customers with regular updates on service progress.
  • Contact customers when vehicles are ready for collection.
  • Prepare customer invoices and issue proforma invoices upon request.
  • Ensure payment is received before releasing vehicles and issue gate passes.
  • Print and review daily Work-in-Progress reports and outstanding jobs.
  • Generate end-of-day, monthly, and annual service reports.
  • Maintain accurate service records.
  • Drive both manual and automatic vehicles.
  • Perform any other duties assigned.

Qualifications and Experience

  • Advanced Diploma in Customer Care, Marketing, or related field.
  • Mechanical or automotive background is an added advantage.
  • Previous customer service or automotive industry experience is desirable.

Knowledge and Skills

  • Excellent customer service and interpersonal skills.
  • Knowledge of automotive spare parts and servicing processes.
  • Strong communication skills.
  • Computer literacy (Microsoft Office).
  • Organizational and time-management skills.
  • Attention to detail and ability to multitask.

Other Requirements

  • Valid driver’s licence.
  • Must drive manual and automatic vehicles.
  • Professional appearance and customer-focused attitude.
  • Honest, reliable, and willing to work flexible hours when required.
